This draft privacy policy explains how NorthAxis Dispatch handles account, operational, and platform data when providing dispatch and freight brokerage software services.

1. Scope

This Privacy Policy explains how NorthAxis Dispatch collects, uses, stores, and discloses personal information and operational data when you use the NorthAxis Dispatch platform and related services.

This policy applies to information collected through the service, public site pages hosted with the service, account onboarding, support interactions, and operational use of the product.

2. Information We Collect

We collect information you or your organization submit to the platform, such as user names, company details, email addresses, customer contacts, carrier contacts, shipper and consignee details, load information, quotes, invoices, uploaded documents, payment workflow details, and audit activity.

We also collect technical and security-related information necessary to operate the service, such as session identifiers, authentication records, access timestamps, activity logs, and limited browser or request metadata.

3. How We Use Information

We use collected information to provide the service, authenticate users, enforce role-based access, store and retrieve operational records, generate exports and documents, support reporting, secure the application, troubleshoot issues, and improve product performance.

We may also use information to communicate with customers about the service, legal updates, support, billing, onboarding, security events, and product changes.

4. Legal Bases and Business Purpose

Where applicable, we process information to perform our contract with customers, comply with legal obligations, protect the security and integrity of the platform, and pursue legitimate business interests such as fraud prevention, product improvement, and service administration.

If we rely on consent for a particular processing activity, we will request it where required by applicable law.

5. Sharing and Disclosure

We do not sell customer operational data. We may disclose information to service providers and infrastructure vendors that help us host, store, secure, monitor, back up, and support the service, subject to appropriate contractual protections.

We may also disclose information when required by law, to respond to valid legal process, to protect rights and safety, or in connection with a merger, financing, restructuring, sale of assets, or similar transaction.

6. Tenant Isolation and Access Controls

NorthAxis Dispatch is designed as a multi-tenant system with role-based access controls, company-level scoping, assignment-based visibility, and audit logging. Access to customer data is restricted according to the account role, company, and assignment configuration in effect.

Company administrators are responsible for configuring users, teams, customer assignments, and internal access appropriately for their organization.

7. Data Retention

We retain information for as long as necessary to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security logs, and preserve necessary backup and recovery capabilities.

Retention periods may vary depending on the type of information, the customer relationship, and legal or operational requirements.

8. Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. These may include authentication controls, role-based access, session protections, audit logs, and secure hosting practices.

No system is perfectly secure, and we cannot guarantee absolute security. Customers should also use strong passwords, least-privilege access, and sound internal security practices.

9. International Transfers

If information is transferred across borders for hosting, storage, support, or other service operations, we will take reasonable steps to apply appropriate safeguards consistent with applicable law.

10. Your Rights

Depending on applicable law, individuals may have rights to access, correct, update, delete, restrict, or object to certain processing of their personal information, or to request a copy of their information.

Requests relating to information stored by a company customer inside NorthAxis Dispatch may need to be directed to that company as the primary controller of its customer operational data.

11. Children

NorthAxis Dispatch is intended for business use and is not directed to children. We do not knowingly collect personal information from children in connection with the service.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we may provide notice through the service, by email, or by other appropriate means. Continued use of the service after the updated policy takes effect constitutes acceptance of the updated policy where permitted by law.
